Fleet Administrator

We are seeking a highly organised, proactive, and customer-focused Fleet Administrator to join our team. This is an excellent opportunity for an enthusiastic individual who enjoys working in a fast-paced environment and takes pride in delivering exceptional customer service.

The successful candidate will play a key role in supporting the day-to-day operation of our fleet, ensuring administrative processes are completed accurately and efficiently while providing excellent support to both customers and colleagues. You will be self-motivated, able to prioritise your workload effectively, and confident working independently as well as part of a team.

Key Responsibilities:

The role will include, but is not limited to:

• Handling and assisting with vehicle breakdown calls, ensuring issues are managed promptly and professionally.
• Providing excellent customer service by responding to telephone calls and email enquiries in a timely and courteous manner.
• Raising purchase orders (POs) and processing supplier invoices accurately and efficiently.
• Managing vehicle taxation, ensuring all fleet vehicles remain compliant with DVLA requirements.
• Preparing and reconciling company credit card reports.
• Supporting the day-to-day administration and operation of the company fleet.
• Maintaining accurate fleet records, databases, and documentation.
• Liaising with suppliers, repairers, drivers, and internal departments to coordinate fleet-related activities.
• Monitoring and updating fleet information, ensuring all records are current and accurate.
• Assisting with scheduling vehicle servicing, maintenance, inspections, and MOTs where required.
• Supporting compliance with company policies and fleet regulations.
• Carrying out general administrative duties including filing, scanning, document management, data entry, and correspondence.
• Assisting with ad hoc administrative tasks as required by the management team.

Essential Skills & Experience:

The ideal candidate will have:

• Previous administration experience, ideally within a fleet, transport, automotive, or logistics environment.
• Good working knowledge of fleet administration processes.
• Strong IT skills with full competency in Microsoft Office, particularly Excel, Word, and Outlook.
• Excellent computer literacy and the ability to learn new systems quickly.
• Outstanding verbal and written communication skills.
• A professional and confident telephone manner.
• Excellent organisational and time management skills.
• The ability to prioritise multiple tasks and meet deadlines.
• Strong attention to detail with a high level of accuracy.
• The ability to work independently using initiative, while also contributing positively as part of a team.
• A proactive approach to problem solving and continuous improvement.
